STUDENT CLINICIAN PROGRAM
The IADR-SEA/DENTSPLY Student Clinician Program (hereafter known as “SCP”) provides the opportunity for one dental student from selected nations in the South East Asia Region to receive an expense-paid trip to participate in the IADR-SEA annual meeting and convention and compete for awards. For 2012, the IADR-SEA Annual Meeting will be held on November 2-4th in Hong Kong.
The SCP is conducted annually in Asia in conjunction with the assistance and approval of the IADR-SEA Division Council. Judging of the table clinics will be done in a closed session by judges nominated by the council in the half day proceeding the poster session of the joint meetings.
DEFINITION OF THE SCP
The SCP is an international program initiated 50 years ago through a co-operation between the American Dental Association and DENTSPLY International and American Dental Schools. The program has now expanded to cover 35 different countries globally.
The objective of the program is to promote and support student dental research.
The SCP is a Poster/table-clinic based competition for undergraduate dental students. Each poster must be presented completely in no more than 5 to 7 minutes, and repeated during the open session period at the IADR-SEA Annual Meeting. The contestants will be judged on criteria listed at the end of this document.
ELIGIBILITY
The participating student clinician must be an undergraduate dental student at the time of his or her presentation during the national competition. If the national competition winner is a final year student, he or she will still be eligible to compete during the regional SCP as a first year graduate dentist.
Clinics may be developed by two or more students but only one student from each school is eligible to present the table clinic for judging and receive financial support from DENTSPLY Asia.
INVITATION TO PARTICIPATE
The initial letter of invitation to participate in the SCP will be sent by DENTSPLY local country office to the dean of each school. The dean will indicate whether or not the school will participate and name the faculty advisor(s) to whom future correspondence should be directed.
If appropriate, each country must conduct a state-wide or national competition to select the student to represent its country. Hence each country should nominate a faculty person to be the person responsible for the program in that country. The nominated faculty person will be contacted by their local DENTSPLY country office and informed of the date, venue and time of the national competition, plus any additional assistance that can be provided from DENTSPLY.
The name of the final student selected to represent his or her country, as well as title of the presentation as well as the abstract should be forwarded the local DENTSPLY country office who will then forward this information to regional DENTSPLY Asia.
Research topics must correspond to one of the two below categories:
CATEGORY I: CLINICAL APPLICATION AND TECHNIQUES
This is a table clinic demonstrating a method of oral-facial therapy. This may show preventive, restorative, surgical or diagnostic procedures, or it may concern itself with materials or devices directly related to dental care. It may include materials which advocate one clinical technique or another without research. A table clinic including research and/or advocating a clinical technique as a result of that research belongs in this category.
CATEGORY II: BASIC SCIENCE AND RESEARCH
This is a table clinic demonstrating a method or result of some research that may or may not have immediate relevance to clinical dentistry. It may also show the application of one of the basic sciences (anatomy, microbiology, physiology, biochemistry, etc.) to the art and science of dentistry. A table clinic involving a clearly biological, physical, or social sciences research project belongs in this category.
Any research topic that fails to correspond to either of these two categories will be disqualified.
REGULATIONS
1. Each table clinic must be presented by one student only during closed judging. For the open presentation, other students who assisted in producing the table clinic may be present to assist.
2. Each student must submit the application form with an abstract of their clinics not to exceed 250 words in the following format:
a. Title
b. Problem – Identify reasons for investigation and provide background information
c. Methods – Report how the study was conducted, identifying techniques, drugs, animals, etc.
d. Results – The bulk of information should be contained here, listing results of the study and their possible significance
3. Students must remain at the table at all times during the judging session.
4. The Poster should be designed in a horizontal (landscape) format. Its width should not exceed 1.5 m and the height should not exceed 1 m.
5. All displays, including charts, models projector and screen, etc., must be confined to the table top. Signs hanging down from the table toward the floor will not be permitted. The table measures 2ft. x 6 ft. and is 42 inches high.
6. Displays must not extend more than 1 meter (39.37 inches) above the table top.
7. Table covers, other than that provided by the meeting organizer will not be permitted.
8. The oral presentation for each demonstration should be no longer than 5-7 minutes in length.
9. The name of the student’s school or the name of any other school must not be visible on the exhibit or on any material during the judging session.
10. Substitution of clinicians or significant changes in the title of clinics from that listed in the official program is not permitted.
11. Amplified sound devices, heavy office equipment, patients or live models cannot be used. Sound reproducing devices with individual earphones may be used. Videocassette recorders and monitors and computer terminals may be used at the student clinician’s expense and only if these do not visually or audibly interfere with other clinics and only if this equipment fits on the table top. The materials shown (video-tape or computer program) must have been developed by the student clinician.
12. If printed material is to be handed out, it is strongly recommended that it be only a one page synopsis of the table clinic. The copy of the material must be at the clinic during judging and should not have the name of the student or the school anywhere on the material.
13. No advertising material may be distributed nor any material shown which in any way resembles a commercial promotional effort. Drugs and products mentioned in the presentation generally should be identified by chemical formulas or by generic name. No trade names (brand or company) may be used for identification or other purposes in the table clinic during the judging. Only generic identifiers are acceptable. As an example, products might be identified as “Product A”, “Product B”, “Product C”, etc. It is appropriate, however, to identify characteristics of products. For example: “Product A” is a glass-filled resin catalyzed by visible light. Commercial promotion of a product or service by trade name is absolutely prohibited.
Violation of this requirement will automatically disqualify a project from consideration in the competitive portion of the table IClinic.
It is permissible to use trade names (brand or company) for identification purposes only during the open presentation portion of the table clinics (non-judging portion).
14. Clinicians must report to the table clinic area in the designated area at least 2 hours prior to the judging in order to set up their clinics in time for the judging session.
15. No one, other than the student clinicians and judges, is permitted in the clinic area during the judging session.
ANY VIOLATION OF THE ABOVE REGULATIONS WILL AUTOMATICALLY DISQUALIFY THE STUDENT FROM COMPETITION AND THE CLINIC NOT BE JUDGED.
RESPONSIBILITY OF SCHOOL
Each eligible school is required to complete a form furnished by DENTSPLY Asia indicating its desire to participate in the SCP, and listing the name of the faculty advisor who will assist the student in properly fulfilling the requirements of the Program.
RESPONSIBILITY OF THE FACULTY ADVISOR
It is imperative that the faculty member appointed by the dean to serve as the advisor should make sure that every aspect of the student’s table clinic is in compliance with the regulations established by DENTSLY and the IADR-SEA Council. The advisor should also see that the student returns all completed forms by the due date.
RESPONSIBILITY OF STUDENT CLINICIAN
1. Completes and returns all forms furnished by DENTSPLY Asia.
2. Submits an abstract or summary (250 words maximum) to DENTSPLY Asia.
3. Submits his or her color head and shoulders photograph to DENTSPLY Asia.
4. Makes own travel arrangements through the offices of DENTSPLY Asia.
5. Only the hotel rate plus applicable taxes will be pre-paid by DENTSPLY Asia. Other incidental charges such as Phone calls, mini bar, laundry, etc. must be covered by student upon checking out.
METHOD OF SELECTION
DENTSPLY Asia does not designate a specific procedure for the selection of student clinicians for the National competition. However, each school may utilize the mechanism of a student clinic competition conducted either by the student association or the school itself. National dental associations and local dental societies are available to assist and advise students and faculty in the conduct of judging of the student clinics in a school program. It is acknowledged that each school has its separate set of rules or guidelines in the selection of the student winner. However, it must be understood that the student who participates in this program must adhere to the regulations established by this Manual.
DATE OF SELECTION
The name of the student and title of the presentation for regional competition must be submitted to DENTSPLY Asia no later than 4 weeks prior to the IADR-SEA Annual Meeting. The deadline for submission is September 30th 2012.
EXPENSES OF STUDENT CLINICIANS
Under the discretion of DENTSPLY, one student selected by each school and accepted by the National Association of his/her country will receive from DENTSPLY country local office, an appropriate allowance for hotel and meal expenses and for air and ground transportation to compete in the national competition during the Annual Session.
The winners of the national competitions will be given an appropriate allowance from DENTSPLY-ASIA for hotel, meal expenses and ground transportation charges to compete in the Regional Program held annually during the IADR-SEA meeting.
HOTEL RESERVATIONS
A hotel in the Annual will be designated as headquarters for the student clinicians. DENTSPLY Asia will make the reservations for all students who will be participating. All students should receive a confirmation directly from the hotel.
DENTSPLY and IADR-SEA will not responsible for any expenses incurred for the shipment of materials to be used in the clinic presentation.
REGISTRATION AT MEETING VENUE
All student clinicians will be pre-registered and their registration fees paid by DENTSPLY Asia and registration badges shall be sent to them prior to the start of the IADR-SEA Annual Meeting. The badges will entitle them to admission to scientific sessions as well as the technical exhibit area of both meetings.
SCADA
All undergraduate students participating in the SCP are eligible for membership in SCADA (The International Association of Student Clinicians-American Dental Association). Complete information about the Association and an invitation to membership will be made available to each student during the Program.
TIME OF PRESENTATION
Student clinicians are required to present their clinics to the judges only in a closed session on the day and times designated. An open presentation also takes place during which time clinics are presented informally to all Joint Annual Session attendees who wish to view them.
JUDGING OF CLINICS
A qualified professional panel of judges will evaluate the clinics. This panel will be comprised of no less than three judges and usually not more than six. The judges will be nominated by the IADR-SEA Council. DENTSPLY designated representative will monitor and advise the judges in the conduct of the judging, but shall not be a member of the judging panel.
CRITERIA USED IN JUDGING
A copy of the rating form used by the judges is attached as Exhibit.
EQUIPMENT
The following will be supplied:
1. Counter table, covered and draped, 2 ft. x 6 ft., 42 inches high
2. Stool
3. Sign with table number and name of clinician
Special equipment, such as table lamp, x-ray view box, and slide projector and table top screen can be furnished on advance request. An equipment request form will be sent to each student prior to the annual session. The students must supply a clinic title sign if such is desired, and this sign must be part of the display located on the table top.
Please note that if you will use posters for your clinic, these needs to be mounted on hard board, you must mount these prior to setting up your table clinic. Please also ensure that your poster board is no more than one meter high. There will be no facilities available to mount posters site or cut these down to meet the regulations as stipulated in this Manual.
HANDOUT MATERIAL
While handout materials are not required, additional points can be gained in the judging from the availability of well prepared, concise literature. If material is to be handed out, it is strongly recommended that it be only a one page synopsis of the table clinic. It will be the student’s responsibility to arrange to have available sufficient copies of handout materials for distribution to those viewing the clinic.
ASSISTANCE RECEIVED
Each student must state on the form the amount of consultative assistance received in preparing the clinic. Clinics receiving little or no assistance are preferred.
SUGGESTIONS:
The following suggestions are designed to assist students in the preparation and presentation of their clinics.
1. Keep in mind that a table clinic is a table top demonstration and not an exhibit, lecture or essay.
2. Judges are looking for scientific/clinical knowledge and presentation skills
3. A complete presentation of the clinic (demonstration and commentary) should be no longer than 5 to 7 minutes.
4. The clinician should be prepared to answer questions regarding the clinic from the judges and from those viewing the presentation. If unable to answer a question, the student should say so.
DENTSPLY RECEPTION
DENTSPLY will host a reception in the evening of the competition in honor of all student clinicians participating in the Program. This is an important event where students receive the recognition they deserve as the official representative of their dental schools and their countries and also an opportunity to network with other students. Invitations and RSVP cards are forwarded directly to each student, dean and faculty advisor from DENTSPLY Asia.
AWARDS
All awards will be provided by DENTSPLY Asia. The announcement of the winning students wil be made at the DENTSPLY Reception or in an appropriate venue during the IADR-SEA Annual Meeting. The first award is a travel prize which will enable the winner to attend the following year’s American Dental Association Annual Session where they will be expected to re-present their winning clinic on a non-competitive basis. Second and third awards of US $500 and US $250, respectively are also made to the winners. All participants receive a certificate of appreciation and a medallion for their contribution to the IADR-SEA Annual Session.
